AMEDLA Asociación Médica Dental Latino Americana A.C., operating as the authorized user of the registered trademarks AMEDLA Asociación Médica Dental Latino Americana®, Halo Awards® and the trademark AMEDLA USA™, as well as its affiliates and associated programs (hereinafter, the "Data Controller"), with domicile at Sabino 78, Los Reyes Ixtacala, Tlalnepantla de Baz, State of Mexico, Zip Code 54090, Mexico, in strict compliance with the Federal Law on the Protection of Personal Data Held by Private Parties (LFPDPPP) and its Regulations, makes this Privacy Notice available to you.

1. PERSONAL DATA COLLECTED AND MEANS OF COLLECTION

To carry out the purposes described in this privacy notice, the Data Controller may collect your personal data directly, personally, or indirectly, through any physical, electronic, optical, visual, audio, or any other present or future technology. Including, but not limited to: forms at our facilities or public spaces, websites (www.amedla.org, www.amedlausa.org), support and crowdfunding platforms (www.ko-fi.com/amedla), mobile applications, digital forms, emails, phone calls, messaging services (WhatsApp), and official social networks.

Likewise, we inform you that we may collect your personal data indirectly through payment gateways or from public access sources permitted by law (such as professional or telephone directories, internet search engines, Google Maps, corporate websites, and public social network profiles).

The personal data we process includes, but is not limited to, the following:

  • Identification Data: Full name, National ID (CURP), official ID (INE/Passport), handwritten signature, and photograph.
  • Contact Data: Email, phone number (landline and mobile), and address.
  • Academic and Professional Data: Professional degree, Professional License number, specialty, graduating institution, clinic name, and workplace (clinic/hospital).
  • Tax and Billing Data: Tax ID (RFC), tax domicile, zip code, tax regime, and official documents issued by the Mexican Tax Administration Service (SAT) such as the Tax Status Certificate or Tax Identification Card, strictly for issuing electronic tax invoices (CFDI).
  • Biometric and Image Data: Photographs and video recordings taken during congresses, courses, in public spaces, and face-to-face or virtual events.
2. PURPOSES OF DATA PROCESSING

Your personal data will be used for the following necessary purposes for the service you request:

  • Primary (Necessary) Purposes:

    Management of registrations for diplomas, courses, workshops, congresses, webinars, ceremonies (such as the Halo Awards®), and any other educational, cultural, or professional updating program.
    Management of donations, memberships, and subscriptions through crowdfunding platforms.
    Issuance and validation of documents with curricular value (certificates, diplomas) before educational authorities.
    Attendance registration and academic control in the educational platform (LMS).
    Payment processing, order control, and electronic billing.
    Customer service and contact.
  • Secondary (Not necessary but useful) Purposes:

    Sending information about new courses, academic events, and newsletters.
    Use of images on social networks and websites for promotional purposes and statistical memory of the Association's events.
    Commercial prospecting and sending invitations, scholarships, or promotions on our behalf, or from our sponsors and commercial allies.

In case you do not wish your personal data to be processed for secondary purposes, you can present a written request to our Personal Data Department from this moment expressing your refusal.

3. SENSITIVE & FINANCIAL DATA (SECURE PAYMENTS)

We inform you that for the collection of services, memberships, or donations we use secure and encrypted payment methods. In accordance with article 8 of the LFPDPPP, by making a payment, you grant your express consent for the processing of your financial data. However, for your peace of mind and security, we clarify the following:

Use of Third-Party Payment Gateways: AMEDLA uses e-commerce platforms and internationally renowned payment gateways (such as Stripe, PayPal, WooCommerce, among others) to process your transactions securely. AMEDLA DOES NOT COLLECT, HAVE ACCESS TO, OR STORE at any time your strictly banking information (such as full credit/debit card numbers, expiration dates, or CVV/CVC security codes).

Such sensitive data is entered directly into the encrypted servers of the payment gateways, whose processing is subject to their own Privacy Notices. These platforms only share and synchronize with AMEDLA's database your identification data, contact info, shipping/billing address, and the payment status (approved or declined), strictly for registration purposes, order control, and invoice issuance.

4. DATA TRANSFER TO THIRD PARTIES

AMEDLA may transfer your personal data inside and outside the country with the following entities and for the following purposes:

  • Payment Service Providers and E-commerce Platforms: (E.g., PayPal, Stripe, WooCommerce) in order to process transactions, verify payments, and prevent fraud (Necessary transfer, consent is not required).
  • Educational Authorities and Universities: For the purpose of validating studies, issuing certifications, and complying with current academic regulations (Necessary transfer, consent is not required).
  • Sponsors, Business Partners, and Strategic Allies: Your contact data and professional profile may be shared with companies in the health, pharmaceutical, and commercial sectors that maintain collaboration agreements with AMEDLA. This is with the objective of offering you scholarships, access to congresses, product samples, medical equipment, and exclusive offers.

If you do not wish your data to be shared with our sponsors and commercial allies (secondary purpose), you can express your refusal by sending an email to [email protected]. If you do not express your opposition, it will be understood that you grant us your consent to carry out these transfers.

5. ARCO RIGHTS

You have the right to know what personal data we have about you, what we use it for, and the conditions of its use (Access). Likewise, it is your right to request the correction of your personal information in case it is outdated, inaccurate, or incomplete (Rectification); that we remove it from our records or databases (Cancellation); as well as to oppose the use of your data for specific purposes (Opposition).

6. REVOCATION OF CONSENT

You may revoke the consent that, if applicable, you have granted us for the processing of your personal data. However, it is important to bear in mind that not in all cases will we be able to meet your request or terminate the use immediately, as it is possible that due to some legal or academic obligation we require to continue processing your personal data.

7. USE OF COOKIES AND TRACKERS

We inform you that on our websites (www.amedla.org, www.amedlausa.org), support platforms (www.ko-fi.com/amedla), and on any other digital platform or application present or future that we operate, we use cookies, web beacons, and other technologies through which it is possible to monitor your behavior as an internet user, in order to provide you with a better service and user experience. The data obtained includes IP address, browsing time, browser type, and visited sections.

8. MODIFICATIONS TO THE PRIVACY NOTICE

This privacy notice may undergo modifications, changes, or updates derived from new legal requirements, from our own needs for the products or services we offer, or from our privacy practices. We commit to keeping you informed about the changes through our official websites (www.amedla.org, www.amedlausa.org), as well as in our facilities or social networks.

9. EXCEPTIONS TO CONSENT AND ACCEPTANCE

In accordance with Article 10 of the Law, the Data Controller shall be exempt from the obligations regarding consent for the Processing and Transfer of your Data when these appear in public access sources, are provided for in a law, or when a resolution is issued by a competent authority.

By providing your personal data through any physical, electronic, optical, audio, visual means or any other technology, or by allowing us to collect it from public sources or payment platforms authorized by you, you acknowledge that you have read and understood this Privacy Notice and grant your express consent for the processing and transfer of your data in accordance with the terms established herein.
